Effective between the Client and World Camp

This Agreement is entered into between “World Camp” (hereinafter referred to as the “Company”) and the Client, subject to the Client’s acceptance of the terms and conditions for using the travel services search and booking system (hereinafter the “Site”) available at www.en.worldscamp.com

1. SUBJECT OF THE AGREEMENT AND DEFINITIONS

1.1. Client refers to an individual who visits the Site to search for and/or book travel-related services, as well as any third parties on whose behalf the Client acts, including minors and accompanying persons.
1.2. Travel Services refer to the services described on the Site, including but not limited to accommodation, transportation, transfers, excursions, and other travel-related services.
**1.3. The Client may independently or with the assistance of Company representatives search for suitable Travel Services via the Site, submit a booking request (hereinafter the “Booking Request”), and pay for the selected services using the booking system provided on the Site.
**1.4. Based on the Client’s Booking Request and at the Client’s expense, the Company shall undertake legal and administrative actions on behalf of the Client, including but not limited to:
  • Verifying the availability of the requested Travel Services with the Supplier under the conditions specified in the Booking Request (e.g., date, time, number of travelers, price);
  • Placing a provisional reservation with the Supplier until full payment is made by the Client;
  • In specific cases set forth in this Agreement, purchasing the requested services from the Supplier using the Client’s funds.
**1.5. The requested package of Travel Services shall be fulfilled by third-party Suppliers in accordance with the terms specified in the Client’s Booking Request.

2. RIGHTS AND OBLIGATIONS OF THE PARTIES2.1.

The Company agrees to:
2.1.1. Take all necessary legal and administrative actions to search for and/or reserve Travel Services from Suppliers that match the specifications outlined in the Client’s Booking Request.
2.1.2. Provide the Client with accurate information regarding the features and availability of Travel Services offered by Suppliers, as well as any other relevant information stipulated in this Agreement.
2.1.3. Accept payment from the Client for the Travel Services and, using the Client’s funds, purchase the requested service package from the respective Supplier on the Client’s behalf.

2.2. The Company reserves the right to:
2.2.1. Request from the Client any information necessary for the fulfillment of this Agreement.
2.2.2. Use the Client’s personal data, provided during the booking process, subject to the Client’s consent and in accordance with the Company’s privacy policy.
2.2.3. Refuse to fulfill the Agreement in the event the Client fails to provide required information or provides false or incomplete information or documentation, fails to make payments on time, or otherwise violates the obligations set forth in this Agreement.
2.2.4. Engage third-party providers and contractors in the performance of services under this Agreement.

2.3. The Client agrees to:
2.3.1. Review all available information regarding the selected Travel Services on the Site prior to submitting a Booking Request and making payment. This includes, but is not limited to, service descriptions, timing, documentation requirements, payment conditions, restrictions (e.g., age, health), and any associated risks. The Client must contact the Company for clarification if needed.
2.3.2. Provide all required personal data necessary for the booking process (e.g., gender, age, passport details), either through the Booking Request or directly to Company representatives, no later than 48 hours before the scheduled commencement of services, unless otherwise specified.
2.3.3. Provide an accurate phone number for timely communication, and confirm the desired date and time of service delivery.
2.3.4. Make timely payments in accordance with the pricing and payment terms indicated on the Site and/or in correspondence with Company representatives.
2.3.5. Notify the Company in writing, no later than 7 business days before the scheduled service date, of any circumstances that may prevent the Client from using the services. Such circumstances include, but are not limited to, medical conditions or health-related restrictions. Upon receipt of such notice, the Company, in consultation with the Supplier, shall determine whether the tour can be canceled, rescheduled, or otherwise modified, including any potential refund.
2.3.6. Receive and review any required travel documents (such as e-tickets) issued by the Company. Documents shall be delivered electronically via email, WhatsApp, Telegram, or other digital platforms. The Client must promptly notify the Company of any discrepancies.
2.3.7. Arrive at the designated meeting point (e.g., hotel, airport, train station) on time. Failure to appear for any reason shall be considered a cancellation by the Client, and no refund shall be issued.
2.3.8. Maintain valid health and life insurance that covers the territory of the Republic of Indonesia for the duration of the trip. For services involving extreme sports, such insurance must explicitly include coverage for such activities. The Company does not provide insurance.
2.3.9. Adhere to personal safety rules throughout the trip.
2.3.10. Treat all equipment and materials provided by the Supplier with due care and responsibility.
2.3.11. Promptly inform the Company if the Supplier refuses or fails to provide services, or delivers them in an inadequate manner.
2.3.12. Ensure that all individuals listed in the Booking Request are informed of the terms and documents shared by the Company. If the Client is booking on behalf of others, the Client guarantees they have the authority to act on their behalf and shall be fully responsible for compliance with this Agreement by all participants listed in the booking.
2.3.13. By submitting a Booking Request and leaving a review on the Site, the Client grants the Company full rights to use the content of such reviews (including text and images) for marketing and promotional purposes.

2.4. The Client has the right to:
2.4.1. Receive all information provided by Suppliers to the Company upon entering into this Agreement.
2.4.2. Terminate the Agreement at any time, provided the Client compensates the Company for any actual expenses incurred in connection with the fulfillment of this Agreement, including applicable penalties.

3. SERVICE DELIVERY PROCEDURE

3.1. Upon receiving a Booking Request from the Client — which includes the selected Travel Services, desired dates, and number of travelers — the Company’s representative shall notify the Client that the request has been received and is being processed. During this time, the Company shall contact the Supplier to verify the availability of the requested services.
3.2. If the requested Travel Services are unavailable, the Company shall promptly inform the Client, and this Agreement shall be considered terminated with respect to that Booking Request.
3.3. If the Supplier confirms the availability of the requested Travel Services, the Company shall provide the Client with accurate and up-to-date information including service availability, pricing, payment terms, and proposed service dates, by sending an electronic message (hereinafter referred to as the “Booking Details”). Additional information, such as service descriptions, limitations (age, health, etc.), and risks, is made available on the Site and must be reviewed by the Client in accordance with Section 2.3.1.
3.4. Upon reviewing the Booking Details, the Client shall reply electronically, confirming their acceptance by submitting their personal details (e.g., full name, accommodation address, phone number). This reply constitutes the Client’s consent to the processing, storage, and use of their personal data by the Company. The Client’s confirmation also serves as agreement to purchase the Travel Services as described.
3.5. The Client shall pay for the Travel Services using the payment method indicated in the Booking Details. In certain cases, a deposit or full payment may be required in order to confirm the booking.
3.6. Once payment is confirmed, the Company shall create a formal reservation within its internal booking system and forward the request to the Supplier. Upon receiving confirmation from the Supplier, the Company shall send a confirmation message or electronic ticket to the Client via electronic means (email, WhatsApp, Telegram, or otherwise, as agreed). This confirmation will include all relevant service information such as date, time, supplier, and cost. At this stage, the Travel Services shall be deemed officially reserved and this booking considered confirmed.
3.7. Following confirmation, the Client may be added to a group tour chat (e.g., on Telegram or another platform as agreed).

Modifications and Cancellations
3.8. If it becomes necessary to modify the confirmed booking (e.g., service terms, dates, or cost), the Company shall promptly notify the Client, stating the reason and the proposed changes. The Client must respond with their consent to proceed with the changes, or decline the modified services. If the Client does not accept the changes and the Supplier is unable to provide services under the original terms, the booking shall be considered canceled. In this case, the Company shall, at the Client’s discretion, either arrange alternative services or issue a refund.
3.9. If the Client initiates a change in the confirmed booking, they must submit a Modification Request no later than 7 business days before the scheduled service date. The Company shall verify the availability of such changes with the Supplier and, if confirmed, issue updated Booking Details or an amended electronic ticket. If changes are not possible, the original terms shall remain in effect.
3.10. The Company reserves the right to cancel a confirmed booking under the following conditions:
  • The Client fails to provide necessary information or documents, or provides false data (e.g., incorrect phone number, hotel name, room number, etc.);
  • The Client fails to make timely payment for the booked Travel Services.

Cancellation by the Client
3.11. The conditions under which the Client may cancel a confirmed booking depend on the service type, payment terms, and notice period.
3.11.1. If the booking includes open dates or is contingent upon group size, weather, or other external factors, the Client may cancel the booking prior to confirming exact service dates.
3.11.2. If the booking includes fixed service dates and requires a deposit, cancellation by the Client will result in the forfeiture of the deposit.
3.11.3. If the booking includes fixed service dates and full prepayment, cancellation by the Client is subject to the following penalties:
  • If notice is given less than 7 business days before the service date: 100% of the total cost is non-refundable.
  • If notice is given 7 or more business days in advance: 50% of the total cost is non-refundable.
  • Other cancellation penalties may apply, as specified in the Booking Details.
3.11.4. If no deposit was required at the time of booking, cancellation may still result in charges to cover actual expenses incurred by the Company or Supplier, and penalties per Section 3.11.3.

4. PAYMENT TERMS

4.1. The cost of the services listed in Section 1.4 of this Agreement is included in the total price of the Travel Services as offered by the Supplier to the Client. The applicable price is stated on the corresponding booking page on the Site and in the electronic ticket. In the event of any discrepancy between the price displayed on the Site and the price listed in the Booking Details or electronic ticket, the price set forth in the electronic ticket shall prevail and be deemed accepted by the Client.
4.2. Payment for the services described in Section 1.4 shall be made simultaneously with the payment for the booked Travel Services.
4.3. The payment terms and requirements for each booking shall be specified in the Booking Details and the electronic ticket. Depending on the service, the payment requirement may include a deposit (partial prepayment) or full paymentat the time of booking.
4.4. Depending on the specific booking, payment for Travel Services may be made to either the Company or directly to the Supplier.
4.5. All payments shall be processed using electronic payment systems or methods approved by the Company, including direct payments to a representative of the Company or the Supplier, if applicable. Payment shall be deemed received only upon confirmation of funds credited to the designated account.

5. TERM OF THE AGREEMENT

5.1. This Agreement becomes effective upon submission of a Booking Request by the Client and confirmation of receipt of the Booking Request by a Company representative. The Agreement shall remain in force until all obligations of both parties have been fulfilled or until termination of the Agreement in accordance with the terms set forth herein.
5.2. The Company’s obligations shall be considered fully performed upon:
  • Issuance and delivery of an electronic ticket to the Client confirming the booking of Travel Services, and
  • Transfer of the Client’s payment to the Supplier (if payment is processed through the Company, as specified in the booking terms).

6. AMENDMENTS AND TERMINATION

6.1. This Agreement may be amended or terminated at any time by mutual consent of the parties or in accordance with the terms and conditions set forth herein.
6.2. In the event of termination initiated by the Client, the Company reserves the right to retain any actual expenses incurred in the execution of this Agreement, including applicable cancellation penalties, from the amounts paid by the Client.

7. LIABILITY AND CLAIMS PROCEDURE

7.1. The Company acts solely as an intermediary between the Client and third-party Suppliers whose services are listed on the Site.
7.2. The Company is responsible for:
  • Ensuring that bookings made through the Site are properly transmitted to and confirmed by the Supplier;
  • Processing payments on behalf of the Client (where applicable);
  • Resolving issues arising from the lack of booking or payment where the Company was responsible for these actions.
If the Supplier refuses to deliver the booked services due to a lack of reservation or payment (where such actions were to be handled by the Company), the Company agrees to either:
  • Arrange equivalent or alternative services for the Client, or
  • Provide a refund of the amount paid.

7.3. The Company shall not be held liable for:
7.3.1. The accuracy or completeness of information provided by Suppliers and posted on the Site.
7.3.2. The scope, quality, or timeliness of services rendered by Suppliers. These are the sole responsibility of the respective Supplier.
7.3.3. Weather or environmental conditions (e.g., fog, rain, strong waves, high winds), road or marine conditions, or the guaranteed presence of wildlife (e.g., dolphins, manta rays, sharks), as well as force majeure events or governmental actions.
Note: Refunds due to weather conditions may be unavailable depending on the Supplier’s policy. In such cases, the Client may be offered a reschedule without the right to further cancel.
7.3.4. Any property damage, personal injury, or death resulting from participation in Travel Services.
7.3.5. Delays, malfunctions, or disruptions of transportation or infrastructure.
7.3.6. Personal injury, loss, or death resulting from war, civil unrest, or military action in the country of origin, transit, or destination. This includes evacuation or repatriation costs due to health-related incidents during land, sea, or motor vehicle travel, hiking, rafting, diving, or any other covered activity.
7.3.7. Loss or damage to personal belongings during or after the provision of services.

7.4. The Client shall be responsible for:
7.4.1. Providing accurate, timely, and complete personal data required for booking.
7.4.2. Ensuring payment is made within the timeframes established in the booking terms.
7.4.3. Covering any damage or loss to equipment provided by the Supplier during the delivery of services.

7.5. Dispute Resolution and Claims
7.5.1. Any disputes arising from this Agreement shall first be addressed through good-faith negotiations between the parties.
7.5.2. Claims must be submitted in writing to the Company’s official email within 3 calendar days after the completion of Travel Services.
7.5.3. Claims will be reviewed within 7 business days of receipt.
7.5.4. Claims regarding lack of booking or payment by the Company (when the Company was responsible) shall be handled directly by the Company.
7.5.5. Claims related to the quality, scope, or timeliness of services rendered by the Supplier will be forwarded to and addressed by the respective Supplier.
7.5.6. Upon review of the claim, the Company and/or Supplier may determine whether to offer substitute services, issue a partial refund, a full refund, or deny the claim based on the circumstances presented.
